How Camp Procurement Works

  1. March / April planning — Camp director or program coordinator builds the season equipment list against expected enrollment + activity schedule. Goals are typically the largest single line item; we recommend planning by late March for best freight pricing.
  2. Request quote (April) — Email bulk@taysports.com or fill /b2b inquiry form with camp size, age divisions, and target delivery date. Reply with quote, freight estimate, and documentation packet within 1-2 business days.
  3. Board / fiscal approval — Camp board or fiscal authority approves the PO. 501(c)(3) camps provide determination letter + W-9 for net-30 terms (first-time orders sometimes start at 50/50 prepay).
  4. LTL delivery (early May ideal) — 5-10 business days from PO acceptance. Goals delivered to camp office, maintenance shed, or main storage facility. Hand-truck unload by signature.
  5. Counselor onboarding (June) — During pre-camp counselor training week, run a 10-minute briefing on goal setup, takedown, daily inspection, and field repair. Quick-start cards live in the tote bag with each goal.

Do you give discounts to non-profit / 501(c)(3) camps?

No separate non-profit discount tier — but the bulk tier pricing (starting at 4 units) is the same regardless of buyer type, and includes the documentation package and net-30 terms for established 501(c)(3) operations. Most ACA-member camps qualify for net-30 from us with a 501(c)(3) determination letter + W-9.

Can we get the goals branded with our camp logo?

Yes, at 50+ unit orders. Most single camps don't hit that threshold (typical day camp orders 4-12 goals). YMCA / Boys & Girls Club / Camp Fire networks ordering across multiple chapters often hit the threshold and order branded — setup fees run $200-$500 one-time plus $15-$25 per unit production cost.
